Planning Process

You have open access to your planning team from now until your wedding date. We spend all the time it takes towards your wedding day and all behind-the-scenes needs, including:

  • Planning Kickoff Meeting

    • via call or video, your planner will walk you through booking priorities based on your date and location to ensure you don't miss out on vendors who are booking quickly

  • Ongoing Planning Meetings

    • virtual meetings to review tasks completed, set upcoming priorities, answer any questions and ensure you are on track with planning. these can be scheduled monthly, or as needed!

  • Provide referrals and custom vendor recommendations 

  • Read all quotes/contracts as you receive from vendors to highlight any red flags and ensure they meet venue requirements. This saves you time, money and potential re-work down the road!

  • Review and provide feedback on floral and rental proposals, quantities and reuse possibilities

  • Provide linen quantities and sizing

  • Ongoing vendor logistics

    • Your vendors can reach out to us at any time for logistics, day of needs or to make sure they have the proper equipment.

    • Do they need a 6’ instead of 8’ table? 120v dedicated outlet within 10 feet of their playing area? Will their ovens blow the fuse if they plug in a coffee maker (it happens!) Need to know the size of the loading dock? Please do not stress yourself over these details and tracking email strings - we’ve got this.

Design

You will work 1:1 with our in-house designer to bring your vision and concepts to life! This comprehensive document provides both visual and written guidance for your vendor team to ensure cohesion across all design elements and the overall aesthetic for the day.

  • Your custom design deck will include:

    • Color palette

    • Attire for the couple and wedding party

    • Personal florals and accompanying wedding party florals

    • Ceremony aesthetics, aisle design, rentals, backdrops, etc.

    • Cocktail hour aesthetics, bars, rentals, lounges, seating chart, etc.

    • Reception aesthetics, tablescape, florals, rentals, linens, cake, etc.

    • Signage and invitation examples / mock ups (*does not include full invitation design, samples only)

  • Our design team will also source and provide all appropriate vendors for your selection and purchase, utilizing local rental companies or those exclusive to or required by your venue if needed.

Logistics + Details

  • Final planning session with your lead planner to go over all wedding day details

  • Planner will coordinate final walk through scheduling with venue and any required parties

  • On-site venue walk through, styling discussion, floorplan prep

  • Planner will work 1:1 with each vendor to compile schedules and load-in/load-out details - this ensures everyone’s individual schedules play nice together!

    • Example: The flip team needs to have the room ready prior to linen arrival. Linens must be on prior to your florist arriving BUT your florist needs to arrive in time to drop bouquets for detail photos when your photography team arrives. Photography can’t arrive too early into beauty services or they’ll have too much time to waste before photos can begin. We work all this out!

  • You will receive a full wedding day schedule to maximize your vendor time and make sure you get the most out of your wedding day hours.

    • All wedding party details will be enclosed within this schedule so you can quickly and easily provide the ‘need to know’ info!

  • Decor and rental inventory list to account for all items coming into and departing the venue with styling notes

Wedding Day Coordination

Up to 12 hours are included on-site for wedding day coordination.

  • Rehearsal coordination on the wedding day (*unless otherwise noted / added to contract)

    • Why day-of? With venues hosting 3-wedding weekends, advance scheduling has been hard to come by in recent years. Modern weddings - modern scheduling!

    • Add in juggling work schedules, flights, hotel check ins, last minute appointments, packing, traffic — many couples started their wedding weekend stressed.

    • We began offering day-of rehearsals to combat these worries. You can still host a traditional “rehearsal” dinner or welcome party and simply enjoy easing in to the wedding weekend - which your VIPs will thank you for!

    • On the wedding day, our team seamlessly schedules in 15 minute time blocks, together or separately, to rehearse! We’ve facilitated over 100 day-of rehearsals due to venue requirement or couples choice, with nothing but rave reviews! It is a very easy addition to the wedding day when everyone is on site and ready to go - and it will never take away from time needed for other activities (beauty, photos, etc!)

  • Main POC for your wedding party and VIPs AND full vendor team

  • Oversight of full day schedule with all moving parts and pieces

  • Setup of personal + decor items provided by couple; oversight of all setup done by outside vendors

  • Wedding day emergency kit for you and your guests

  • POC for all vendor needs on event day

  • Alignment with transportation companies

  • Tear down of decor + personal items provided by the couple

  • Oversee vendor tear down and load out to meet venue off-site requirements

  • End-of-night guest departure management / shuttle organization

  • Lead planner and 1-2 associate planners on site for the day
